Refund Policy

This Refund Policy explains how cancellations, advances, service fees, statutory payments, and refund requests are handled for Kosha.Services compliance packages and professional service engagements.

Effective date: 29 April 2026 Company: ZNI Ventures Priviate Limited
Our services involve professional time, compliance review, document handling, statutory coordination, and custom advisory work. Refunds are therefore limited once work has started, except where applicable law requires otherwise or where a written service proposal states a different rule.

1. Scope

This Policy applies to fees paid to Kosha.Services for HR, labour, GST, accounting, income tax, TDS, ROC, legal, corporate compliance, advisory, documentation, and related professional services. If a signed proposal, invoice, order form, or written agreement contains different refund terms, that document will apply to the relevant engagement.

2. General Refund Rule

Paid service fees are generally non-refundable once work has commenced, deliverables have been prepared, filings have been initiated, meetings have been completed, or our team has allocated professional time to the engagement. This includes monthly compliance retainers, one-time advisory assignments, documentation work, filing support, review work, and urgent compliance tasks.

3. When a Refund May Be Considered

  • A duplicate payment was made for the same invoice or service.
  • You paid an advance and cancelled before any work, review, document request, filing preparation, consultation, or resource allocation began.
  • We are unable to start the agreed service for reasons within our control and no meaningful work has been performed.
  • A refund is required by applicable law or by a specific written agreement signed by the parties.

Where a partial refund is approved, we may deduct fees for work already performed, time spent, consultations completed, documents reviewed, third-party costs, taxes, payment gateway fees, and out-of-pocket expenses.

4. Non-Refundable Items

  • Government fees, statutory charges, challans, penalties, late fees, stamp duty, filing fees, and portal charges.
  • Third-party fees, payment gateway charges, courier charges, professional partner costs, bank charges, and vendor fees.
  • Consultation fees, review fees, urgent work fees, documentation fees, or advisory fees after the session or work has started.
  • Monthly retainer fees for the current billing period once the billing cycle has started.
  • Fees for completed deliverables, submitted filings, draft documents, compliance calendars, reports, registers, or advisory notes.
  • Amounts paid for services delayed because the client did not provide complete information, approvals, access, documents, or timely responses.

5. Cancellation of Services

You may request cancellation of future services by contacting us before the next billing cycle or before the next agreed work milestone begins. Cancellation does not automatically create a refund for the current period, completed work, work in progress, statutory costs, or amounts already committed to third parties. For monthly packages, service access and support may continue until the end of the paid period unless we agree otherwise in writing.

6. Billing Disputes

If you believe an invoice or charge is incorrect, please raise the issue within seven days of the invoice or payment date with supporting details. We will review the request in good faith and may ask for additional information before deciding whether an adjustment, credit note, or refund is appropriate.

7. Refund Request Process

  • Submit a written request with your name, company name, invoice number, payment date, amount, and reason for refund.
  • We will review service status, work performed, third-party costs, and applicable contract terms.
  • Approved refunds are normally processed within 7 to 14 business days after approval, subject to banking, payment gateway, and reconciliation timelines.
  • Refunds will usually be made to the original payment method unless we approve a different method in writing.

8. Taxes and Credit Notes

Any refund, adjustment, or credit note involving GST, TDS, or other tax treatment will be handled in accordance with applicable law and our accounting records. Tax amounts already deposited, reported, or subject to statutory restrictions may not be refundable in cash.

9. Changes to This Policy

We may update this Refund Policy from time to time. The latest version will be posted on this page with an updated effective date. Changes will apply prospectively unless required by law.
